Distributing Leads by Sales Territory

Do you have your market divided up into territories assigned to specific agents? Here's how to handle that.

Create Multiple Pipelines

Pipelines are like sub accounts within your account. Each pipeline has it's own lead sources, team and lead routing settings. Read more about ways to use pipeline.

For our purposes we're going to create multiple pipelines for different sales territories.

STEP 1: Create a New Pipeline

  1. Click on pipelines under settings.

  2. Click 'Add Pipeline' in the top right corner.

  3. Name the pipeline and save it.

  4. Select team members to have access to the pipeline.

STEP 2: Create New Lead Sources

Read about the basics of importing leads.

Go to the lead sources page under settings and create new lead sources for this pipeline.

Make sure you are editing the right pipeline. You should see the name of the pipeline at the top of the page.

STEP 3: Create a New Notification Order

Go to the 'Notifications & Routing' page under settings and select who you want notified when new leads come in for this territory.

Send Your Leads to The Right Pipeline

Each pipeline has it's own lead set of sources and we want to make sure that we're sending the right leads to the right lead source. For example we only want to send leads from Chicago to lead sources within the Chicago pipeline. There are several ways to accomplish this.

Your lead provider may only allow you to send leads to one email address, in which case you should ideally keep your personal email on file with the lead provider and instead set up a forwarding rule to forward leads into LeadSimple. You can read more about setting up forwarding rules here.

OPTION 1: Segment at The Lead Source

Some lead providers will allow you to segment your advertising with them so that leads from different geographies can be sent to different people at your company. If this is possible then provide them with multiple email addresses to forward leads to, one for each territory geography. 

OPTION 2: Segment With Contact Form Dropdown

When you control the contact form leads are being submitted through, you can segment your leads by adding a drop down to the form:

By using rules or conditions you can send email notificatoins to different emails based on the dropdown field that was selected when the form was submitted.

You can accomplish this in one of two ways:

  1. Build this logic into your existing forms.

  2. Use a third party form builder (See below).

How to forward leads using conditional logic with a form builder

There are a number of third party form building services that will allow you to 1) create a form with a drop down, and 2) forward form submissions to different emails depending on which drop down was selected. See list of vendors below.

OPTION 3: Segment With Zapier

Zapier is service that connects the LeadSimple API with a number of other services, such as form builders, email marketing platforms, and other CRM's. If your leads are being captured by another service that integrates with Zapier prior to entering LeadSimple, then it's possible to import those leads directly and apply a geographic filter in the process.

Creating a Filter

Start by creating a zap to import leads.

Next, create a filter based on geography.

Finally, specify the pipeline you want leads meeting this filter criteria going to.

You will create separate zaps for each territory.
