Handling Multiple Estimates in the Work Order Process

Learn how to handle collecting multiple estimates in the Work Order process.

When working a Work Order, you may need to collect multiple estimates when the repair is likely to be above the owner's maintenance limit.

In these cases, move the process to the "Multiple Estimates" stage.

The process will prompt you to choose additional vendors to request quotes from. Go ahead and add these to the "Vendors for Multiple Estimates" contact role.

Tip: Make sure that your Vendors for Multiple Estimates and Assigned Vendor contact roles are mapped to your AppFolio, Rentvine, or Buildium Vendors pipeline in the General settings in your Work Order process.

That way, only your actual vendors will appear in the list when you search.

Once you've added all the vendors you'd like to contact for multiple estimates, click on their email addresses individually to send the email.

Click "Use Template" and select the "Estimate Request" email template. Edit as needed and then send.

Repeat these steps to send each email individually to the different vendors.

The communication will be tracked in the activity on the process for each email thread.

Once you've received the estimates from the different vendors and communicated with the owner, add the selected vendor to the "Assigned Vendor" contact role.

Tip: Ensure that the Assigned Vendor contact role is mapped in your AppFolio, Rentvine, or Buildium integration. This will ensure that the Vendor you add here is assigned in your accounting software.

The process will then move forward to the "Scheduling in Progress" stage.
