🔧 Where to Configure Phone Hours

  1. Log in to LeadSimple.

  2. Click on Phone tab in the left-hand menu.

  3. At the top of the page you will see Phone Settings.

  4. Scroll down to the section labeled Phone Hours.


🕒 Step-by-Step: Set Business Hours

  1. Select Your Time Zone

    • Use the drop-down labeled Time Zone to select your local business time zone.

    • All phone hour schedules will follow this time zone.

  2. Enable Hours of Operation

    • Each weekday (Monday to Friday) is enabled by default.

    • To activate or deactivate a day, toggle the switch beside the day label (e.g. Monday).

    • For each active day, set the Start Time and End Time your team should be available for calls (e.g., 9:00 AM to 5:00 PM).

    • To mark a day as Closed, simply toggle it off (useful for weekends or holidays).

  3. Upload a Custom Voicemail Message (Optional)

    • Under Outside of Phone Hours Voicemail, you can upload a pre-recorded message to be played when a caller reaches you outside of your designated phone hours.

    • Click Choose Audio File to upload an MP3 or WAV file (max 5MB).

    • This is especially helpful for letting clients know when to expect a callback or redirecting them to another support method.

  4. Save Your Changes

    • Once your hours and voicemail settings are configured, click the Save Changes button at the bottom.


🧠 Tips and Best Practices

  • Keep business hours consistent across your team to maintain reliability and expectations.

  • Update the time zone setting carefully — all phone logic, including voicemail timing, will follow the time zone set here.

  • Review your uploaded voicemail regularly to ensure it includes relevant contact info or escalation options (e.g., “For emergencies, email support@company.com”).

  • You may want to mirror your Inbox availability (your ability to respond to emails) to match your Phone Hours, especially for integrated workflows.


🧩 What Happens Outside of Phone Hours?

When a caller tries to reach your team outside of the designated phone hours:

  • The custom voicemail message (if uploaded) will play.

  • The caller can leave a message, which will be recorded and appear in your Inbox.

  • No ring notifications are triggered for team members outside of scheduled hours.
