LeadSimple Jotform Integration

Automatically create CRM leads or Ops Processes from Jotform submissions, map form fields, choose routing, and control duplicate handling.

LeadSimple's direct Jotform integration creates CRM Pipeline leads or Ops Processes automatically when a connected Jotform form is submitted. It can replace Zapier for common Jotform to LeadSimple workflows.

Before you start

You need:

  • Admin access in LeadSimple.

  • Access to the Jotform account that owns the form.

  • A Jotform API key with Full Access permissions, because LeadSimple needs to read forms and register webhooks.

  • The Jotform Integration feature enabled on your LeadSimple account.

Get the Jotform API key

  1. In Jotform, go to My Account > API.

  2. Create or copy an API key.

  3. Make sure the key has Full Access permissions.

Connect Jotform to LeadSimple

  1. In LeadSimple, go to Settings > Integrations > Jotform.

  2. Paste your Jotform API key.

  3. Click Connect Jotform.

  4. After the account is connected, click Refresh Forms to load your Jotform forms.

  5. Click Connect next to the form you want to use.

Each Jotform form can be connected to one LeadSimple workflow at a time. If a form is already connected, it will not appear in the Available Forms list.

Choose what the form creates

In the connection dialog, use Target Type to choose whether the form creates a CRM Pipeline lead or an Ops Process.

For CRM Pipelines

Choose Pipeline when the form should create or update a lead.

You can configure:

  • Pipeline: required.

  • Initial Stage: optional. If blank, LeadSimple uses the first active stage in the selected pipeline.

  • Lead Source: optional. If blank, LeadSimple creates or uses a source with the Jotform form name.

  • Assign To: optional. If blank, LeadSimple uses the pipeline's assignment rules.

Pipeline field mapping supports standard fields for name, email, phone, address, city, state, ZIP code, and comments. You can also map fields to custom fields on the selected pipeline.

For Ops Processes

Choose Process when the form should create or update a process.

You can configure:

  • Process Type: required. Draft process types cannot be used.

  • Contact Role: required. The submitter is attached to the process as the primary contact in this role.

  • Initial Stage: optional. If blank, LeadSimple uses the process type's default stage.

  • Assign To: optional. If blank, no default owner is set.

Process field mapping supports standard fields for name, email, phone, and comments. You can also map fields to custom fields on the selected process type.

Process submissions need at least one submitter field mapped and submitted: name, email, or phone. Without one of those fields, LeadSimple cannot attach a contact to the process.

Map form fields

LeadSimple loads the questions from your Jotform form and suggests mappings automatically when field names look like common contact fields. Auto-detected fields show an auto badge.

Review each row and choose the LeadSimple field to receive that Jotform answer. Select Do not map for fields you do not need.

Duplicate handling

Choose what should happen when someone with the same email submits the form again:

  • Create a new lead/process: always creates a new record for each submission.

  • Update the existing lead/process: updates the most recent matching record and appends new comments.

  • Skip: ignores the submission when a matching record already exists.

For Pipeline targets, duplicate matching looks for the same email on a lead in the selected pipeline. For Process targets, duplicate matching looks for an open process in the selected process type with the submitter in the selected contact role. Completed processes and processes where the contact is in another role are not treated as duplicates.

What happens after you connect a form

LeadSimple automatically registers a webhook with Jotform. The Connected Forms table shows the form as Active when that webhook is registered.

When a submission is received, LeadSimple:

  • Creates or updates the selected target record.

  • Creates or finds the submitter contact when contact details are provided.

  • Saves mapped standard and custom fields.

  • Adds a Form submitted or Form resubmitted activity to the lead or process.

  • Sends normal new lead notifications for new Pipeline leads.

Managing the integration

Go back to Settings > Integrations > Jotform any time to refresh forms, review connected forms, or disconnect a form.

To change a form's routing or field mapping, disconnect that form connection and connect the form again with the updated settings.

Disconnecting the Jotform integration removes all form connections and stops LeadSimple from creating leads or processes from Jotform submissions.
