After an E-signature step is configured, LeadSimple sends the request from the workflow task. The task must know who should sign for each signer role.
How signers are chosen
Process workflows: signer roles resolve from process contact roles, assignee roles, or specific users selected in the workflow step.
Pipeline workflows: signer roles usually resolve from pipeline signer roles assigned on each deal.
Internal signers: users and assignee roles can be selected when someone on your team needs to sign.
Assign signer roles on a pipeline deal
Pipeline e-signature tasks may require a deal contact to be assigned to each pipeline signer role before the request can send.
Open the deal or task list where the E-signature task appears.
Select the E-signature task action.
In Assign Signer Roles, choose the deal contact for each signer role.
Select Save Assignments.
If no contacts appear, add contacts to the deal first. Each assigned contact must have an email address.
When the request sends
E-signature tasks send automatically when they become due.
If the due date is in the future, LeadSimple schedules the send for that due date.
If the due date has arrived, LeadSimple sends it shortly after the task is created or updated.
If the workflow is in draft mode, automated steps do not run until the workflow is active.
Who sends the email
LeadSimple sends the signing email from the task assignee or workflow owner using their connected email account. If that user does not have a connected email account, the request cannot be sent.
What signers receive
Each signer receives an email with a review-and-sign link. If the document has multiple signing orders, later signers wait until earlier signers complete. LeadSimple emails the next signer when it is their turn.
After all signatures are complete
The task completes automatically, the completed signed PDF is saved in LeadSimple, and completed signers receive an email with a download link.
