Track e-signature requests and download signed documents

Use the Signatures page and contact activity to monitor signer progress and find completed signed PDFs.

Use the Signatures page to review sent e-signature requests, check signer progress, open the related workflow, and download completed signed documents.

Open the Documents tab

  1. Select Signatures from the left navigation.

  2. Open the Documents tab.

Each row shows the document name, request status, signers, related deal or process, completion date, and completed files when available.

Understand request statuses

  • Pending: the request exists but has not fully moved through sending yet.

  • Sent: the signing email was sent.

  • Opened: a signer opened the signing link.

  • Completion processing: all signatures are complete and LeadSimple is saving the completed PDF.

  • Completed: the signed PDF is available.

  • Declined: a signer declined the request.

  • Expired: the signing link expired.

  • Failed: LeadSimple could not send or complete the request.

Review signer status

The Signers column shows each signer, their email or contact record, their signer role, and their current status. If a signer is linked to a contact, select the contact name to open their contact record.

Open the related workflow

The Parent column links back to the deal or process that sent the request. Use this when you need to review the workflow task or fix signer assignments.

Download completed files

When a request is completed, the Files column shows the signed PDF. Select the file name to open or download it.

View signature activity from a contact

Contact records show recent Signature Activity when that contact has e-signature requests. Select View all to open the Signatures page filtered to that contact.

What signers see

  • If it is their turn, the signing page opens the document for review and signature.

  • If another signer must sign first, the page tells them the document is waiting on another signer.

  • If the request is complete, they can download the signed document from the signing page or the completion email.

  • If the request is declined, expired, failed, or otherwise unavailable, they should contact the sender for help.
