A completion gate stops a To Do task from being marked complete until a field holds a value you specify. Use it where a step is a real checkpoint: an inspection must be Pass before a property is listed, a background check must be Approved before a lease is sent, a deposit must be Received before keys are released.
Without a gate, a to-do is an honor-system checkbox. Anyone can tick it while the record says otherwise.
Where to find it
Go to Processes → select your process → Settings → Stages & Workflows.
Open a To Do task and click Add Completion Gate.
Setting up a gate
Open the To Do task you want to gate.
Click Add Completion Gate.
Choose the field the gate should check.
Choose the value or values that allow the step to be completed.
Save the step.
You can gate on any field available in the step's context (process, property, unit, or contact), not only fields shown on that step.
What your team sees when a step is blocked
Completion is refused and the message names the field, its current value, and the value it needs. Once the field is set to a permitted value, the step completes normally with no extra action.
Good to know
Skipping the step does not bypass the gate.
The gate also applies to completions from automation, stage transitions, and the API, not just the UI.
An empty field blocks the step. It does not pass by default.
Moving the process to the next stage does not silently auto-complete a blocked step.
Steps with no gate configured behave exactly as they did before.
