Written by Catherine Makena

Branded emails let you send polished, on-brand messages from your workflows, with your logo, colors, and footer built in. You set your brand once at the company level, then customize each email template for its purpose.

This article covers how to set up your brand, build a branded template, preview and test it, and use it in a workflow.

Step 1: Set up your company brand

Your company brand is the starting point for every new branded template. It has two parts.

Logo and brand color

  1. Go to Settings → Company → Business Information.

  2. Upload your logo. Logos must be PNG or JPG files under 1 MB.

  3. Choose your Brand color. This color appears as the accent bar at the top of branded emails.

Font, colors, and footer

  1. Open any pipeline or process settings and select Email Templates.

  2. Click Company email styles.

  3. Set your Default font, Background color, and Text color. Colors use six-digit hex codes, such as #f4f7f6.

  4. Add a Default footer, or leave it blank to use your company name and website.

  5. Click Save styles.

New branded templates start with these styles. Existing templates keep their own saved styles until you choose to update them (see Good to know below).

Step 2: Create a branded template

  1. Open the settings for a Growth, Operations, or Maintenance pipeline or process, and select Email Templates.

  2. Click Add Template, or open an existing template to edit it.

  3. Enter a Template Name and choose which pipeline or process it Belongs to.

  4. Next to Personal email, click Use a branded design.

  5. Optionally, pick a starting point from the Replace with starter menu.

  6. Choose a Layout: Branded notice or Personal letter.

  7. A branded notice works well for formal updates and announcements. A personal letter keeps a simpler, one-to-one feel while still using your brand.

To switch back to a plain email at any time, click Convert to personal email.

    Step 3: Add your content

    1. Fill in the Subject.

    2. Add an Email heading. This is the large title at the top of the email.

    3. Add a Preheader. This is the short preview text people see in their inbox next to the subject.

    4. Build the body using content blocks. Click a button below the editor to add a block:

Paragraphs, lists, and links

Use the up and down arrows on a block to reorder it, or the trash icon to remove it.

Click the {…} merge tag icon in supported fields to insert merge fields, such as the contact's first name.

To adjust the logo, colors, or footer for this template only, open Brand settings for this template. To reset this template to your company brand, click Use company defaults.

Step 4: Preview, test, and use your template

  1. Click Preview to see the email with sample information. Switch between Desktop, Mobile, and Text to check every version. Click Edit message to go back to editing.

  2. Click Save, or Save & send test to me to send yourself a test copy. Test emails need a connected sending email account.

  3. To use the template in a workflow step, select it and choose Use in this step.

Maintenance templates are assigned to their matching actions automatically, so there's no extra step for those.

Good to know

  • Brand changes don't update existing templates automatically. Each template keeps the brand settings it was saved with. After you change your company brand, open each template, click Use company defaults, and save.

  • Edits only affect future emails. Emails that were already sent stay the same.

  • Your email setup stays the same. Branded emails still use your sender identity, email signature, attachments, unsubscribe handling, and connected email account.

  • Maintenance buttons keep their secure links. Action buttons in maintenance emails link to secure pages that can't be removed or changed.

  • Classic templates convert when saved. If you open an existing plain template in the designer and save it, it becomes a branded template.

  • Current limits: One company brand per account, two layouts, and images added by URL only. Inbox display can vary slightly between email apps such as Gmail and Outlook, so send yourself a test before using a template widely.

FAQ

  • I updated my brand color, but my templates still show the old one. Why? Templates keep the brand settings they were saved with. Open the template, click Use company defaults, and save.

  • Why can't I send a test email? Test emails need a connected sending email account. Connect one under Settings → Company → Email Settings, then try again.

  • Can I upload an image straight into a template? Not yet. Images are added by URL, so the image needs to be hosted online first.

  • Will editing a template change emails I already sent? No. Changes only apply to emails sent after you save.
