*Note that applicants sync automatically every five minutes with our direct API integration with AppFolio. If you use a different PM software, follow the instructions below.

If you have an application process in LeadSimple, now you're wondering how to automatically import applicants from your PM software into LeadSimple!

This article will show you how to set up the most reliable way to get applicants into LeadSimple from your PM software:

  1. Export a report for new applicants in your PM software

  2. Copy the data from the export into a Google Sheet

  3. Zapier will pull in the data to LeadSimple and create a new lead for each row that's added!

Let's get started!

Step 1: Add a Prospective Tenant Pipeline

The first step is to add a "Prospective Tenant" pipeline for these applicants to be created in.

Why add a pipeline specifically for prospective tenants? These applicants aren't current tenants yet, so we don't want to mix them into your Current Tenants pipeline, which are being synced from your property management software. Instead, these applicants should be treated as tenant leads. Your prospective tenant pipeline can be used for:

  • Tracking inquiries from potential tenants

  • Pulling in applicants automatically so you can use their info in the application-screening process

  • Nurturing secondary approved applicants

Start with our Prospective Tenant pipeline template

You can start with an empty custom pipeline or take advantage of our pre-built, fully customizable stages and workflows for tracking potential tenants!

Click "Library" in the left-hand sidebar and scroll down to find the "Prospective Tenant Pipeline". Click on that card.

Click "Stages & Workflows" on the top to review the stages in the pipeline. Then click "Copy into My Account".

On the next page, click "Use This Workflow".

Then, click "Create New Pipeline".

Name the pipeline "Prospective Tenants" and save it.

It will take you to the team page, where you can set who has access to this pipeline. (Admins are added automatically).

Step 2: Set Up a Google Sheet

Set up a Google Sheet that you'll use to copy your new applicant information to.

Step 3: Build the Zap

Follow the instructions here to build the Zap that will create a lead in LeadSimple each time a new row is added to your Google Sheet. We even have a template for you so you don't have to build it from the ground up!

If you have questions after reviewing the instructions of how to build the Zap, please chat us or email support@leadsimple.com and we'll be happy to help.
