Starting Processes Individually, Automatically, and In Bulk

There are four ways to start a process:

  • One process starting another from a "Create Process" task

  • Autopilot starting processes when certain rules apply

  • Manually starting a one-off process

  • In bulk from a pipeline (such as lease renewals or delinquencies)

1. Create Process Tasks

Many processes are triggered by other processes - so many processes will have a Create Process workflow step that can automatically start the next process.

These tasks will look like this:

If they are set to start the process automatically, there is no action needed.

If they are manual tasks, click the create process icon to pull up the create process window. The process will automatically pull in the owner and the tenant and assign the due date and users. If you don't see this occurring, there might be some final setup needed on the process - contact an admin on your account to get it updated.

2. Autopilot Rules - Processes Start Automatically

You can set up Autopilot Rules to start your processes automatically.

Autopilot is typically used for Lease Renewals, Delinquencies, Move Ins, and Move Outs. Most other processes are either triggered manually or by other processes. We have recommended templates for all four Autopilot processes:

If Autopilot rules are set up for your processes, they will start automatically and you won't need to start them manually. πŸ‘

3. Starting a Process Manually

Sometimes you will need to start a process without any previous process triggering it. (Such as a move out process if the tenant terminates their lease early).

To initiate a one-off process manually from the process type page, navigate to the process type you need to trigger. Click the "Start Process" icon on the top right of the page.

In the window that appears, start by adding a property to the process. If the process has been set up correctly, the system will then pull in the tenant and owner for this property for you automatically.

The process should assign the due date and users. If you don't see this occurring, there might be some final setup needed on the process - contact an admin on your account to get it updated. You can also update them manually and then hit save to save the process!

4. Starting Processes in Bulk Manually

You can also initiate processes in bulk from a pipeline (such as lease renewals or delinquencies).

Start by pulling a filter for the subset of tenants or owners you want to start the processes for.

Then select all the records.

(If you are starting over 100 processes: click the checkbox at the top of the list to select the first 100 tenants, then click "Update leads" to add a tag to those 100 records. After adding the tag, create the processes for those 100 tenants. Then, filter your list to exclude the tagged tenants (tagged with none), so you can select the next 100 records.)

Click the Create Process button that appears in the top right.

The system will then prompt you to choose a process type.

Then you will be able to set the due date for the process and choose the assignee(s) before saving the process.
