First, go to your toolbar on the left, go to “Leads,” then click the gear icon in the top right corner to edit Stages & Workflows.
Next, click the green + symbol next to "Current Stages" to open a window to create a stage. Choose a descriptive name like “Water Shutoff Notice - August 22nd” and click "Save."
Under “Lead enters stage,” you’ll see options to email, call, or text the client. Choose your preferred option, which will open a template for the message.
Enter the content of your message in the text box that appears. When you’re satisfied with it, click "Save." You can also assign this step to a user so that the email or text will come from an address the recipients are familiar with.
Click on “2 days later” to the left of the message template to choose when the message will be sent out. The lightning bolt icon allows you to set the message to automatically send without manual approval. The star icon makes the task “sticky,” so it will send even if a lead leaves the stage.
Lastly, update the final step of this new workflow to move the tenant back to their original stage.
Now, go to “Leads” and select the subset you’d like to contact. Filter by any criteria you prefer (such as active leases at associated addresses). Select all of the recipients you’d like to contact, then select “Update leads” in the top right corner. In the first dropdown, select the name of the stage you created earlier in this tutorial. Finally, click "Save," and you’re done!
