Cancelled Move-Ins in AppFolio Now Automatically Update in LeadSimple

We've improved how LeadSimple handles cancelled move-ins from AppFolio. If a move-in is cancelled in AppFolio, LeadSimple now detects this automatically and updates your records, no manual cleanup needed.

What Was Happening Before

When you cancelled a move-in in AppFolio, the tenant record was removed on AppFolio's side. However, LeadSimple didn't always recognize that the move-in had been cancelled. This could cause a few issues:

  • The tenant remained listed as a "Current" contact on the deal in LeadSimple, even though they were no longer in AppFolio.

  • Move-in processes could keep running for the cancelled tenant, sending them reminders and creating tasks that no longer applied.

  • When a new tenant moved into the same unit, their move-in process sometimes didn't trigger correctly because the old tenant's data was still in the way.

  • You had to manually go into LeadSimple, remove the old tenant from the deal, clear the move-in date from the property, and re-sync, which was time-consuming at scale.

What Happens Now

When a move-in is cancelled in AppFolio, LeadSimple is now notified automatically and takes care of the cleanup for you:

  • The cancelled tenant's deal is moved to the Past stage.

  • The deal name is updated to remove the cancelled tenant.

  • Any active move-in processes for that tenant stop running.

  • The unit is freed up so the next tenant's move-in process triggers correctly.

This all happens in the background within moments of the cancellation in AppFolio. You don't need to do anything.

Do I Need to Turn This On?

No action is needed on your end. There's nothing to configure or reconnect. If you have an active AppFolio integration, this improvement applies to your account. If you're not sure whether it's active for you yet, reach out to our support team and we'll confirm.

What About Old Records?

This improvement works going forward. If you have existing "ghost" tenant records in LeadSimple from move-ins that were cancelled before this update, those will still need to be cleaned up manually. To do that:

  1. Go to the deal with the stale tenant.

  2. Remove the cancelled tenant's contact from the deal.

  3. Clear the old move-in date from the property record if it's still there.

  4. If the unit has a new tenant, trigger a re-sync to pull in the correct data.

FAQ

Does this also handle cancelled move-outs? This update specifically addresses cancelled move-ins. Cancelled move-outs are handled separately.

What if I cancel a move-in and the tenant is still showing in LeadSimple? First, give it a few minutes, the update happens in the background. If the tenant is still showing after that, contact support with the property address and tenant name and we'll look into it.

Do I need to reconnect my AppFolio integration? No. This works with your existing connection. No re-authorization or setup is needed.

What if my AppFolio integration was paused? If your integration was paused during a cancellation, LeadSimple may not have received the update. After reactivating, you may need to do a re-sync. Contact support if you're seeing stale data after reactivation.
