Restricting Who Can Set Specific Custom Field Values

Let anyone edit a custom field, but allow only authorized users to select certain options.

Restricted options let anyone edit a custom field while reserving specific values for authorized people. That is the shape of most sign-offs: an inspector records Pass or Fail, but only a supervisor can mark it Resolved. A leasing agent records an application result, but only a manager can set Approved with Conditions.

Where to find it

Go to Processes → select your process → SettingsCustom Fields. Click edit on the field you want to restrict.

In the Edit Custom Field modal, scroll to Restricted options near the bottom. Each of the field's options has a checkbox.

Restricting an option

  1. Open the custom field for editing.

  2. Under Restricted options, tick the checkbox next to each value you want to protect.

  3. Save the field.

Only users with the Set restricted field options permission can select a ticked value. For everyone else the option cannot be set through any route, including bulk edit, import, and the API. It is not simply hidden in the UI.

Good to know

  • Options you leave unticked stay settable by anyone who can edit the record.

  • Records that already hold a restricted value are not changed when you add the restriction, and the value is not wiped.

  • If an authorized user's permission is later removed, values they already set still stand.

  • Fields with no restricted options behave exactly as they did before.

Restricted options pair with completion gates, which block a task until a field holds a particular value.
