Direct API Integration with Buildium

Learn how to use LeadSimple's direct integration with Buildium to automatically sync your rental owners, tenants and vendors to LeadSimple.

Many things can hurt a property manager's productivity. Two that are often high on the list are:

  1. Data entry

  2. Time spent finding information in other systems

If you use Buildium as your property management software, you're in luck! LeadSimple integrates directly with Buildium so you can spend less time on data entry and hunting down information, and more time on creating an excellent customer experience for owners and tenants.

What's included:

  • One-way sync of Rental Owners, Rental Tenants, Properties, Units, Leases and Vendors from Buildium to LeadSimple (syncs every six hours)

  • Automatic setup - Just click a link in the Buildium marketplace to set up the integration

  • A migration tool for you if you previously set up an integration with LeadSimple and Buildium using Buildium's reports (see here).

What is not included:

  • Two-way sync of data. LeadSimple does not push any data into Buildium at this point in time.

Note: You may need to upgrade your plan to access the direct sync with Buildium. If you do not see the Buildium Integration on your Integrations page in LeadSimple or are redirected to the Billing page, reach out to support@leadsimple.com and we'll help you out.

Zapier Note: If you use Zapier for any automations triggered by new leads, be sure to pause your Zaps before integrating your data from Rentvine.

​Alternatively you can add a filter to your Zaps to only continue if the new lead was created in your Owner Lead pipeline.

How To Set It Up

  1. Log into Buildium

  2. Navigate to the Buildium Marketplace

  3. Search for LeadSimple and open the marketplace listing for it

  4. Click the button to install the integration

Next, choose the data you want to sync to LeadSimple from Buildium.

Important Note: Make sure all the information in the screenshot below is selected before you continue.

Check the checkbox to agree to the terns of use at the bottom.

Then click "Allow Access".

You'll be redirected to LeadSimple where you'll be asked to sign up (if you don't have an account) or log in (if you do).

Note: If you are already a LeadSimple client, you may need to upgrade your plan to access the direct sync with Buildium. If you do not see the Buildium Integration on your Integrations page in LeadSimple or are redirected to the Billing page when you log in, reach out to support@leadsimple.com and we'll help you out.

How Data Sync Works

At this point, Buildium will begin syncing your data to LeadSimple. It may take several hours if you have a lot of data in your Buildium account, but you'll receive an alert when the data has finished syncing.

1. What data does Buildium sync to LeadSimple?

Every three hours LeadSimple syncs Rental Owners, Rental Tenants, Properties, Units, Leases and Vendors from Buildium.

2. Where does LeadSimple store the data from Buildium?

Properties and Contacts from Buildium are stored in the "Properties" and "Contacts" tabs in LeadSimple respectively.

Owners, tenants and vendors are stored in 3 pipelines under the "Leads" tab in the main navigation. LeadSimple creates these pipelines automatically for you.

  • Buildium Rental Owners - Your current owners from Buildium will be stored here.

  • Buildium Rental Tenants - Your current tenants from Buildium will be stored here.

  • Buildium Vendors - Your vendors from Buildium will be stored here.

Owners sync the following information to the "Buildium Rental Owners" pipeline:

  • Name and contact information (phones, emails, mailing addresses)

  • A tag that indicates it is a "Buildium Rental Owner" so you can differentiate the contact elsewhere in LeadSimple.

  • The property the owner is associated with.

  • Contract Start Date and Contract End Date

  • Contract status (i.e. Stage); this indicates whether the owner has a current "Signed Contract" or is a "Past Client"

Tenants sync the following information to the "Buildium Rental Tenants" pipeline:

  • Name and contact information (phones, emails, mailing addresses)

  • A tag that indicates it is a "Buildium Rental Tenant" so you can differentiate the contact elsewhere in LeadSimple.

  • The property the tenant is renting, or used to rent.

  • Lease Start Date and Lease End Date if the lease is current

  • Lease status (i.e. Stage); this indicates whether the tenant is currently renting ("Signed Contract") or rented from you in the past ("Past Client")

Vendor records sync the following information to the "Buildium Vendors" pipeline:

  • Contact name and all contact information

  • Tag to indicate the vendor was imported from Buildium

Properties sync the following information:

  • Address

  • Units, including unit numbers, if it's multi-family

  • Property Type

  • Lease Start Date (for each specific unit the property is multi-family)

  • Lease End Date (for each specific unit the property is multi-family)

  • Market Rent (for each specific unit the property is multi-family)

  • Tag to indicate the property was imported from Buildium

Remember! You'll be able to use all of this data in your operational processes (onboarding, delinquency, renewals, etc...) later on without entering any of the data manually! πŸŽ‰

3. How often does Buildium sync data to LeadSimple?

The sync occurs automatically every three hours. If you want to perform a manual data sync at any time, you can easily do this by navigating to Settings > Integrations > Buildium inside LeadSimple and clicking the πŸ” icon to the right hand side of the integration.

4. Why did Buildium sync multiple records for the same owner?

If an owner owns multiple properties, LeadSimple will create an individual record for that owner for each property they own. For example, Charlie Brown owns 3 properties. If you navigate in LeadSimple to Leads > Buildium Rental Owners and look for Charlie Brown, you'll see 3 owner records for him, one for each property.

This makes it easier to track your property management contracts with each individual property.

Reconfiguring or Removing the Integration

At any time, you can navigate to Settings > Integrations > Buildium in LeadSimple to reconfigure, sync data now, or remove the integration.

To remove the integration, simply click the "Delete" button on the right-hand side of the integration and confirm your choice.

NOTE: Removing the integration will turn off the sync from Buildium entirely so don't do this unless you are certain that is your desired outcome.

To change the configuration, you can click the integration name to open the configuration settings. From here, you can choose:

  • Which pipeline owners, tenants (aka "Leases" in Buildium) and Vendors should sync to

  • The stages current owners, tenants, and vendors should import into (green)

  • The stages past owners, tenants, and vendors should import into (brown)

  • The stages for future tenants (i.e. "Future Leases") to import into

You can also rename the integration if you want.

Other Questions and Information

Why are some of my tenants syncing as "Unknown Name"?

If a tenant ("Lease") in Buildium does not have a current tenant contact associated with it in Buildium, LeadSimple will create a tenant record in the "Buildium Rental Tenants" pipeline called "Unknown Name".

To fix this, search for this lease inside of Buildium and ensure you add a tenant contact to that record. The new tenant will sync to LeadSimple and correct the issue the next time the sync between Buildium and LeadSimple occurs.
