How to set up your Propertyware/LeadSimple integration

PSA: This article references the direct integration LeadSimple has with Propertyware. If you aren't familiar with that integration, learn more here!

So you're looking to integrate Propertyware with LeadSimple to sync your owner, tenant, applicant, vendor, and property/unit data to LeadSimple automatically. Great!

READ THIS: The direct Propertyware integration is only available on the current retail Operations plan as updated on October 1, 2022; it is not available on legacy Operations plans. If you signed up for LeadSimple before October 1, 2022, you are most likely on a legacy pricing plan. As an admin, check your billing settings to see what plan you're on before proceeding with the steps below. If you are not on the latest pricing plan and want to get the Propertyware integration, contact us: support@leadsimple.com and we'll get you upgraded!

#1 Activate the integration

To activate the integration, you'll need to generate an API key in Propertyware and input it into LeadSimple.

In Propertyware, click Setup in the top right-hand corner.

Then, on the left sidebar, click Administration Setup > API Keys.

Click "Create API Key". In the new dialog, name it "LeadSimple". Choose "READ" in all of the following lines. Then, click "Generate Key". Keep the dialog with the keys open, you'll need them.

Log into LeadSimple, and in the left sidebar, click "Settings", then "Integrations". On the new page, click on "Propertyware".

Click "Add new Propertyware Integration".

In the "Client ID" field, fill in with the "Client Id" key you see in Propertyware. In the "Client Secret" field, fill in with the "Client Secret" key you see in Propertyware.

In the "Organization ID" field, you should fill your ID in Propertyware. You can find that in the same API Keys page, close to the navbar. It will say "Manage API Keys ( Org ID: xxxxxxxx)". You should copy this number and save it in LeadSimple.

Click "Save Integration".

LeadSimple will start syncing your data with Propertyware. You'll soon be prompted, through your notification center in the sidebar, to come back to this page and configure your leases/prospects stages.

#2 Customize the configuration of your Propertyware integration

Once you've been prompted to fill in your information, you will be able to customize some of the settings if you want to, including:

  • The pipelines that owners, tenants, vendors, and prospects sync to in LeadSimple

  • The stages which owners, tenants, vendors, and prospects sync to

  • The GLAccounts from Propertyware that LeadSimple should use to calculate delinquent rent vs. other fees a given tenant may be delinquent on

  • Whether or not you want to sync tenant applicants from Propertyware

Navigate to Settings > Integrations > Propertyware

(You need to be an admin to see this page)

Click on your Propertyware integration in the list.

Customize GLAccounts to sync Delinquent Rent

This video is AppFolio-based, but applies to Propertyware as well.

To properly sync delinquent rent to LeadSimple so you can run your delinquency/collections process, you should customize the GLAccounts you want LeadSimple to look at to calculate delinquent rent vs. amount receivable.

Not only can you choose which pipelines to sync owners, tenants, vendors and prospects to. You can also choose which stages you want current, past, and future clients to sync to.

LeadSimple keeps the stage up to date with the status of the owner/tenant/vendor/prospects in Propertyware. For example, if you stop managing properties for an owner, and Propertyware moves that owner to the "past" status, LeadSimple will update the stage of that owner in LeadSimple to the stage you select for "Past Stage" in these integration settings.
