Migrating to the new Leadsimple/Propertyware from PMSync

Learn how to migrate your Propertyware data to the new LeadSimple/Propertyware integration

Hey there! This article is relevant to you if you originally integrated your LeadSimple account with Propertyware using PMSync, but recently re-integrated with Propertyware using our direct integration with their API.

Why is this important?

So you want to use the latest integration LeadSimple has with Propertyware; great!

If you were previously using our old integration with Propertyware's scheduled reports, there are some steps you will need to do first before you can fully utilize the new integration.

In summary, these steps will allow us to merge the Propertyware data that syncs to LeadSimple from your scheduled reports with the Propertyware data syncing directly via the new integration so you don't have duplicate owners/tenants/vendors/properties in your LeadSimple account.

What happens if you don't follow these steps?

You will have duplicates of all your owners, tenants, vendors, and properties in LeadSimple that are syncing from Propertyware, which will confuse you and your team when you are running your processes.

Migration Steps

Update Your PMSync scheduled reports in Propertyware

Log into Propertyware.

Click on Reports in the Navbar.

Search for the reports that have "PMSync" or "LeadSimple" in the title. You're specifically looking for "PMSync" reports for:

  • PMSync - Buildings

  • PMSync - Units

  • PMSync - Owner Contacts

  • PMSync - Tenant Contacts

  • PMSync - Vendors (if you are not syncing vendors to your LeadSimple account, you might not have this report in Propertyware, which is okay; just skip the step for this report in that case)

Next, you'll need to customize each of the following reports to include an "Entity ID" column (see the steps below).

  • PMSync - Buildings

  • PMSync - Units

  • PMSync - Owner Contacts

  • PMSync - Vendors

Here are the instructions to update each of the reports.

You will not need to update the "Tenant Contacts" report! Yes, it's okay to celebrate a little that you don't have to do this again πŸ˜‰πŸŽ‰

Buildings Report

Click on the buildings report, and then, on the right side, click on "View Report".

You'll need to include "Building Entity ID" which is available under "Building Summary"

After checking the checkbox, click on Save.

You can go back to the main reports page by clicking "Exit".

Units Report

Click on the units report, and then, on the right side, click on "View Report".

You'll need to include "Unit Entity ID" which is available under "Unit Summary"

After checking the checkbox, click on Save.

You can go back to the main reports page by clicking "Exit".

Owner Contacts Report

Click on the "Owner Contacts" report, and then, on the left side, click on "View Report".

You'll need to include "Contact Entity ID" which is available under "Contact Summary"

After checking the checkbox, click on Save.

You can go back to the main reports page by clicking "Exit".

Vendors Report

If you are not syncing vendors to your LeadSimple account, you might not have this report in Propertyware, which is okay; just skip the step for this report in that case

Click on the "Vendors" report, and then, on the left side, click on "View Report".

You'll need to include "Vendor Entity ID" which is available under "Vendor Summary"

After checking the checkbox, click on Save.

You can go back to the main reports page by clicking "Exit".

Add a new "Leases" report

To be able to properly match all of your leases, we'll need to configure a new report: the "leases" report.

Back on the reports page, we'll create this new report. Select the "Leadsimple" or "PMSync" folder in the sidebar, and then click on "New Report" at the top of the page.

Click on Lease Reports, and then Leases. Then, Apply.

We'll need to guarantee we are only sending active leases for this report. On the navbar, click on "Filters" and then guarantee we are filtering by active leases.

After you've confirmed you are correctly filtering your leases, you'll need to configure the report to contain all of the following required fields:

Lease Building

  • Building

  • Building Entity ID

  • Building ID Number

Lease Summary

  • End Date

  • Lease Entity ID

  • Lease Name

  • Move-In Date

  • Notice Given Date

  • Start Date

Lease Tenant Ledger

  • Current Rent

  • Rent Unpaid

  • Total Unpaid

Lease Unit

  • Unit

  • Unit Entity ID

Then, save the report:

We also need to schedule the report to go out to PMSync. Click "Email/Schedule"

Make sure to select "Send Later" at the top of the dialog, then click "Scheduled" and set it up in a way that the data will be sent every day. Also make sure to select "Excel" format.

You can obtain the email address you should send this to in your PMSync Integration page.

Save it, and the report is set up! πŸ‘


After you've updated the reports and set up the new "Leases" report you can either wait up to 1 day for Propertyware to resend us the reports, or you can resend us the reports yourself by manually emailing them from Propertyware to the email you can find on your "Integrations > PMSync" page.

Once LeadSimple receives the new "integration ID" columns the next time your Propertyware reports sync, you'll be able to proceed with merging your Propertyware data in LeadSimple and completing the migration! Yahoo! You just need to access your Propertyware Integration settings and click that big blue button at the top to begin the merge!
