You can now create one-off or recurring tasks on your Tasks page in LeadSimple! This new feature will help boost your team’s productivity and ensure all those endless ad-hoc requests don’t slip through the cracks!

Standalone tasks are designed for one-off and recurring tasks so you can be more efficient and get more done.

Navigating Your Tasks

On the left-hand navigation bar, you will find two options to access your tasks.

  • All Tasks: This comprehensive view provides access to all your tasks, including both process-related and standalone tasks. You can easily complete, filter, and edit tasks on the All Tasks page.

  • Standalone Tasks: This view was specifically designed for managing standalone tasks. Here, you can focus solely on standalone tasks, whether they are recurring or one-off.

Creating One-Off Tasks

To create a standalone task, click the "Add Task" button available on both the "All Tasks" and "Standalone Tasks" pages.

On this screen, you will be able to:

  • Select your task type.

  • Add a name and description for your task.

  • Assign it to a specific user (by default, all tasks you create will be assigned to you).

  • Select if your task should be repeated.

  • Define a Due date.

  • Define a task Priority.

  • Choose a reminder.

  • Add an Attachment to your task

After defining your task's attributes, click "Create" to save your changes.

How to Set Task Priorities

To assign a priority to a task, simply click on the "Priority" icon and choose one of the available options.

Tasks can be categorized into three priority levels, from Priority 1, the highest, to Priority 3, the lowest. You can also choose not to assign a priority level tag. By default, tasks are created with no assigned priority, so make sure to update this setting as needed to stay organized.

Creating Recurring Tasks

You can choose the desired repeat frequency when creating a standalone task, such as daily, weekly, monthly, yearly, or custom intervals. By default, standalone tasks are set not to be repeated.

Default Options

When you select one of the predefined options (daily, weekly, or yearly), the task repetition aligns with the moment of task creation. For example, if you create a task on a Monday and set it to repeat every week, all subsequent tasks will also be scheduled for Mondays.

Each recurring task will align with the original task creation day, ensuring consistency and convenience.

Custom Options

If you choose the "Week" option, the system will prompt you to set specific recurrence patterns, such as multiple days of the week.

A loop icon in the top corner of the task card makes it easy to identify which tasks are set to repeat.

Completing and Deleting Recurring Tasks

To prevent a backlog of recurring tasks, a new task is only created when the existing one is marked as complete. For example, if you set up a task to repeat every Monday, Wednesday, and Friday but miss the Monday deadline, the system will mark it as overdue and only generate the next task once you complete the Monday task.

🚨 NOTE: Deleting a recurrent task will automatically remove all subsequent tasks associated with it.

Frequently Asked Questions:

Can I set a task to repeat on a specific day of the month?

Yes! Simply set the first task to the day of the month you would like the task to repeat on, then select the "repeat every 1 month" option. In this example, the task will repeat on the 15th of every month:

Why don’t the future instances of the task appear?

Rather than creating hundreds of tasks when you create a reoccurring task, the system waits until you complete the current active task before creating the next occurrence.

For example, if you set a task to repeat every Monday, Wednesday, and Friday, the system will wait until you complete the Monday task to create the Wednesday task.

Why does completing an overdue task sometimes create a task that is already overdue?

Recurring tasks do not skip any occurrences, so if a recurring task is overdue and continues overdue until past the next task's due date, the next task it creates will already be overdue.

Can I connect this task to an existing process?

It's not possible to move a recurring or standalone task to an existing process. To create a standalone task connected to a lead or process, go into the lead or process and click Add Task.

Can I add attachments to process and pipeline tasks too?

Yes, you can add attachments to one-off tasks added manually to a lead or a process!

Can I add recurring tasks to a process workflow?

Currently, no, it is not possible to create a recurring task on a process workflow. Instead you can add multiple tasks to the workflow and set the task delays to the desired timeframe.

Why can’t I add a standalone call task?

Standalone call tasks are coming soon!

Can standalone tasks sync to my calendar?

Currently, standalone and recurring tasks cannot be synced to your calendar like pipeline and process tasks can.

Are standalone tasks available on all plans?

Yes, all LeadSimple retail and enterprise plans have access to standalone and recurring tasks!
