Instructions on how to set up PMSync for Buildium users

The PMSync Buildium integration is a legacy integration that uses Buildium's automated reports to sync your customer/property data to LeadSimple. We have a direct integration with Buildium's API which is a lot better and will replace this integration long term πŸ™‚ Go here to learn how to set up the direct integration instead.


LeadSimple can now sync your Owners, Tenants, Vendors, Properties, and Units from Buildium, and keep them up to date automatically. Here's how to set that up.

Step 1: Add new pipelines for your Owners, Tenants, and Vendors.

This step is crucial. You will need separate pipelines for your current owners, tenants, and vendors. You DO NOT want to mix your current owners and tenants with your owner leads and prospective tenants (if you track prospective tenants in LeadSimple), as this will skew your reports and create duplicates.

To add the pipelines you need, click "New Pipeline" under Leads in the lefthand sidebar in LeadSimple. (Note that pipelines are unlimited on the Operations plan.)

Give your pipeline a name (such as PMSync Owners or Buildium Owners) and save it.

Repeat Step 1 until you have added a new pipeline for "PMSync Owners", "PMSync Tenants", and "Vendors", before moving to the next step.

Step 2: Finish setting up the integration in LeadSimple.

Go to Settings > Integrations > Property Management Software.

Click "Enable this feature if you haven't already.

Then, click "Connect Your Property Management Software".

Next, select the new pipelines you just added for each relationship. Be sure to map your current clients to the "Signed Contract" stage and your past clients/tenants to "Past Client".

Vendors are optional and only need to be mapped to a pipeline and a single stage, typically we map to a won stage/green stage.

Save the integration and move on to step 3!

Step 3: Setup in Buildium

PMSync relies on standard Buildium reports to sync your data. Unfortunately, Buildium does not currently support emailing these reports automatically, so you will have to download the reports and email them to PMSync periodically to keep the information up to date. This only takes a minute.

Open your Buildium account and look for these reports under the Rentals menu:

On the Property page, export all rentals.

On the Rental Owners page, export all rentals.

On the Tenants page, make sure to select Former tenants as well as current ones. Then export like normal.

On the Maintenance menu, select the Vendors report and download a CSV of it.

Add all four CSV reports as attachments to an email. Get the PMSync email address from the LeadSimple integration you set up in the previous step:

Send the email. PMSync will begin importing the records, which should complete within 15 minutes. After that, you can either wait for LeadSimple to pick up the changes (which occurs twice a day), or trigger the sync manually from the integration page in LeadSimple:
