What are pipelines in LeadSimple?
Pipelines act like lead buckets, allowing you to set up different subsets of your business or types of leads/clients that you work with. Use them to differentiate your leads by lead type (owners vs tenants for example), geographical area, or to manage different teams.
Each pipeline can be set up with its own lead sources, notifications, team members, stages and workflows, and email/text templates.
Here are some examples of great ways to use pipelines:
Owners (for all owner prospects, cold leads, converted leads)
Tenants (to track former and prospective tenants)
Referral Partners (market to potential referral partners and track the leads they refer to you using the referral tracking feature.)
Buyers
Sellers
Leads in different geographical areas (if you have multiple offices with different team members for each)
Here are a couple of ways you don't need to use pipelines (as LeadSimple covers these needs with other features).
To track individual lead sources or marketing channels. Each pipeline can have unlimited sources imported into it. So instead of breaking out your pipelines by lead source, have all your sources point to the correct pipeline for that type of lead. (i.e Owner leads from all your sources (website, lead providers, etc) go into the Owners pipeline, and you can then filter that pipeline by source if you need to see all the leads from a particular source.)
To track whether leads are active, cold, converted, or lost. Instead, use stages and workflows to show which leads are cold and need to be nurtured, are active and need to be followed up with, have converted to paying clients, or are lost for any reason. That way, you can have accurate reporting for each type of lead you have in the system.
Note also that each plan has a certain number of pipelines included, and extras are $30/month or $300/year on Growth. Pipelines are unlimited on Operations. Learn more about pricing here.
Creating and Managing Multiple Pipelines
Create Multiple Pipelines
STEP 1: Create a New Pipeline
Click Add Pipeline under the Leads tab in the sidebar.
Name the pipeline and save it.
You will now see the new Pipeline listed under the leads tab.
You will also notice that all the pages under Pipeline Settings will always be referring to only one of your pipelines at a time, and you can use the drop down menu in the top left to switch quickly between the settings for your different pipelines.
STEP 2: Assign a Team To The Pipeline
Select which team members need to access this pipeline from the pipeline page. You can add users by clicking "+ Add User" and remove them by clicking the X in the right corner of each user.
You can also edit which pipelines a user has access to from their user profile under Settings > Users.
Note that only Admins can edit permissions for Limited Access users.
STEP 3: Create Lead Sources For Pipeline
Go to the lead sources page under your pipeline settings and add the lead sources you will be getting leads from for this particular lead type.
Make sure you are editing the right pipeline. You should see the name of the pipeline at the top of the page. You can see how to start using your sources here.
STEP 4: Create Notification Order For Pipeline
Go to the lead notifications and routing page under settings and select who you want to be notified when new leads come in for this pipeline. See how to set up team notifications here.
STEP 5: Set up your stages and workflows for your pipeline
Now, you can customize your sales process for this particular type of lead on the Stages & Workflows page under Settings > Pipeline Settings. Customize the stage names and build out workflows that apply to this particular type of lead.
Add email and text templates and build out your sales process so you can use it again and again!
And there you have it! Now your account is set up and ready to go to help you manage not just your Owner leads, but also any other types of leads you want to track!
